When this policy says "KCA", "we", "us" or "our", it refers to Kilimanjaro Climbing Agency and the legal entity above.

  • Enquiry and booking forms: your name, email address, phone number, travel dates, group size and any other details you include in your message.
  • Email and WhatsApp communications: any messages you send us directly.
  • Payments: we do not store card or banking details on our website. Payment is handled by direct bank transfer or agreed payment methods communicated separately.

  • To respond to your enquiry and plan your trek, safari or tour.
  • To send you booking confirmations, itinerary documents and pre-trip information.

  • Park authorities and permits: Kilimanjaro National Park (KINAPA) and Arusha National Park (TANAPA) require climber registration details including full name, nationality and passport information.
  • Accommodation providers: hotels and mountain huts require guest names for booking.
  • Our local mountain crew: guides, cooks and porters are given the names and relevant details of clients they will be supporting.
  • Legal requirement: if required by Tanzanian law or court order.

5. Data retention

We retain your personal information for as long as needed to provide our services and comply with Tanzanian legal requirements (typically 7 years for financial records). Enquiry data for trips that do not proceed will be deleted after 12 months.

You have the right to:

  • Request a copy of the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your data where we have no legal obligation to retain it.
