Terms & Conditions

These Terms and Conditions ("Terms") govern all bookings, treks, safaris and services provided by Kilimanjaro Climbing Agency, operated by KLMNR CLIMB TOUR & SAFARI AGENCY LIMITED (KCA), BRELA Registration No. 204187053, Moshi, Tanzania. By making a booking you agree to these Terms.
1. Bookings and confirmation
- A booking is confirmed once KCA has received a signed booking form (or written confirmation by email) and the required deposit.
- The standard deposit is 30% of the total trip cost, due at the time of booking.
- The remaining balance is due no later than 30 days before departure.
- For bookings made within 30 days of departure, full payment is required at the time of booking.
2. Pricing
- All prices are quoted in US Dollars (USD) unless otherwise stated.
- Prices include all items listed in the tour inclusions provided at the time of quotation.
- Kilimanjaro National Park fees, Arusha National Park fees and other government-set fees are included in KCA quoted prices unless explicitly excluded.
- KCA reserves the right to adjust prices in response to significant changes in park fees, fuel costs or exchange rates. We will notify you of any such changes before confirming your booking.
3. Cancellation by the client
Cancellations must be made in writing (email is accepted). The following cancellation fees apply:
- More than 60 days before departure: Loss of deposit only (30%).
- 31–60 days before departure: 50% of total trip cost.
- 15–30 days before departure: 75% of total trip cost.
- 14 days or less before departure: 100% of total trip cost (no refund).
We strongly recommend purchasing comprehensive travel insurance that covers trip cancellation.
4. Cancellation by KCA
KCA reserves the right to cancel a trip in the event of natural disaster, government travel restrictions, park closures or safety concerns beyond our reasonable control. In such cases, we will offer an alternative date or a full refund of all payments made to KCA. KCA will not be liable for any additional costs incurred by the client (e.g. flights, visas).
5. Changes to bookings
- Changes to departure dates or trip itineraries requested by the client are subject to availability and may incur amendment fees.
- Route changes after arrival in Tanzania may be subject to additional park fees.
6. Health, fitness and medical conditions
- Clients are responsible for ensuring they are in sufficient physical health to undertake the activity booked.
- You must disclose any pre-existing medical conditions at the time of booking that may affect your ability to safely participate.
- Altitude sickness is a real risk on Kilimanjaro. KCA guides are trained to monitor symptoms and may recommend or require descent if a client's health is at risk. Guides' decisions on the mountain are final for safety reasons.
- KCA reserves the right to refuse participation to any client whose health condition poses a risk to themselves or other group members.
7. Travel insurance
All clients must hold valid travel insurance that covers:
- Medical treatment and emergency evacuation at altitude (above 5,000 m)
- Trip cancellation and curtailment
- Loss of personal belongings
Proof of insurance may be requested before departure. KCA accepts no liability for costs arising from inadequate insurance coverage.
8. Liability and responsibility
- KCA takes all reasonable precautions for client safety. However, mountain trekking and safari activities carry inherent risks. Clients participate at their own risk.
- KCA is not liable for any injury, death, loss or damage arising from acts of God, war, civil unrest, accident, illness, theft, changes in park regulations or other circumstances beyond our control.
- KCA's maximum liability to any client shall not exceed the total amount paid for the trip in question.
9. Client conduct
- Clients must behave responsibly and comply with all park regulations, trail rules and guidance from KCA guides.
- KCA reserves the right to remove any client from a trek whose behaviour endangers others or violates park rules, without refund.
- Kilimanjaro National Park operates a strict Leave No Trace policy. Littering is prohibited.
10. Photographs and marketing
KCA may photograph or film activities during your trip for use in marketing materials and on our website. If you do not wish to be included in such materials, please notify us in writing before your trip.
11. Complaints
Any complaints should first be raised with your KCA guide or the Moshi office immediately so we have the opportunity to resolve the issue during your trip. Written complaints after the trip must be submitted within 28 days of return. KCA will acknowledge and respond within 14 business days.
12. Governing law
These Terms are governed by the laws of the United Republic of Tanzania. Any disputes arising from these Terms shall be subject to the jurisdiction of the Tanzanian courts.
